How to Write an RFQ for Turkish Manufacturers That Gets Accurate Quotes
Super Admin2 min read

The quality of the quotations you receive depends almost entirely on the quality of your request. A vague message such as "please send your best price for chairs" invites vague answers, each based on different assumptions. A clear request for quotation (RFQ) gets offers you can actually compare.
Turkish manufacturers are generally quick to respond to export enquiries. Here is how to make sure their answers are useful.
1. Introduce your company briefly
Factories prioritise serious buyers. Start with two or three lines on who you are, your market, and whether this is a one-off order or a planned programme. Mentioning expected yearly volume helps the supplier decide how much effort to put into the quote.
2. Describe the product precisely
Product name and intended use
Drawings, photos or a reference product
Materials, grade, dimensions, tolerances, colour and finish
Standards or certifications required in your country
Anything that must not change without your approval
3. State quantities clearly
Give the quantity per order, per model and per colour or size. If you are unsure, ask for prices at two or three quantity levels, for example 500, 2,000 and 5,000 units. This also shows you how price changes with volume.
4. Specify packaging and labelling
Packaging affects cost, freight volume and damage risk. Say whether you need retail packaging, your own brand, barcodes, languages on the label, units per carton and palletising.
5. Define the delivery term
Ask everyone to quote the same Incoterm and place, such as EXW factory, FOB Istanbul or CIF your port. If you need a door-to-door price, give the full delivery address.
6. Ask for the same information from everyone
A simple table in your RFQ makes replies consistent. Ask each supplier to fill in:
Unit price and currency
Minimum order quantity
Sample cost and sample lead time
Production lead time after sample approval
Payment terms
Carton size, units per carton and gross weight
Validity of the offer
7. Set a deadline and a contact
Give a reply date and one contact person. Suppliers who answer on time and in full are often the ones who will also communicate well during production.
Common RFQ mistakes
Sending different information to different suppliers
Asking only for "best price" without quantity or delivery term
Forgetting certificates or labelling needed for import
Not asking what is excluded from the price
